Year-End Dates & Accounting Calendar

The Year-End Information & Dates document has been updated for fiscal year 2007. This document indicates when accounting documents must be delivered to the appropriate accounting office to ensure the transactions are booked in June.

Also, the Accounting Calendar has been updated through May 2008.

Create Chartfield Templates for Quick Input for Departmental Deposits

You may now input your chartfield account distribution into a template and save it permanently for future use. This function will allow you to create templates of one chartfield, or a group of chartfields, used most often when you are preparing a departmental deposit. Once the template is created, you need only to select the template within the Departmental Deposit application and copy it with one keystroke.

To Access:

  • Go To “Employee Tab” under CIS.
  • Find “Financials & Business Services”, and then “Processing”.
  • Select “Chartfield Templates”.
  • Select the “Add a Value” to create a new template
  • Input the “Business Unit” and “OrgID” you use to prepare your departmental deposits.
  • Assign a name for the “Chartfield Template”.
  • Press “Add”.
  • Input a “Short Description” (required) and a “Long Description” (optional).
  • Input the chartfield string.
  • The “Amount” and “Description” are optional, but if input would be saved to template to display each time that template is selected.
  • To add more lines for input, press the “+” sign.
  • To delete a line, press the “-“ sign.
  • Once everything is input and complete, press the “Save” button to save your template.
  • To review an existing template, go to the “Find an Existing Value” tab on the first page of the “Chartfield Templates” selection.

To Use A Template(s):

  • Select the template of choice before you input anything into the chartfield distribution.
  • Add or delete any amount or description to the chartfields.
  • Once you are finished with your input, if you have any lines that you are not using, check the “Delete Zero/Blank Amount Rows”, press “Save”, and the unpopulated row(s) will be deleted.

February Cell Phone Allowance – Update

The Feburary Cell Phone Allowance has been posted to the General Ledger with a March 1,2007 journal date.

The Cell Phone Allowances for February 2007 will be included in the February Earnings and Benefits Report. However, the Cell Phone Allowances were inadvertently left out of the General Ledger Posting. Therefore, they will not appear in the February Management Statements.

To insure that the allowances are correct for March, check the following after the March Closing:

  • The March Earnings and Benefits Report does NOT include February’s Cell Phone Allowance.
  • The Management Statements include BOTH February and March’s Cell Phone Allowance.

Verify Other Paycheck(s) for Payroll Reporters

We are pleased to announce the launch of a new Payroll Reporter tool. It is called Verify Other Paycheck(s). It is found under the Human Resource Management section on the Employee tab of CIS. It is designed to enable Payroll Reporters to view other employees paychecks and answer paycheck questions from employees. Some details of this tool is as follows:

  1. The employee must elect to have his/her Payroll Reporter see the pay stubs. This is accomplished on the View Paycheck page in CIS. It is 100% optional for the employee. He/she is in 100% control and can turn access on or off at their discretion.
  2. All historical paychecks are viewable.
  3. The security is based on the CURRENT Home Dept of the employee and the Payroll Reporter(s) that have security to that Home Department. I.E. If an employee worked elsewhere last year, his/her current Payroll Reporter can see all paycheck.
  4. The employee chooses to allow or disallow access to their Payroll Reporter via a link on the View My Paycheck transaction. If access has been allowed a red-letter reminder is shown.
  5. The security is already established based on the “PANWEB” security.
  6. As a reminder to Payroll Reporters, there is some confidential/privacy issues in that they will now see info (such as garnishments, medical provider, etc.) that they otherwise would not see.

Please pass this information on to the employees in your Home Departments.

Reviewing Management Reports

Management Reports have been changed to provide a place for the individual reviewing a Management Report to initial or sign that the review has been done. That place is at the bottom right of the Balance Sheet for each Activity and Project, which says “Reviewed by:___________”.

It is important to review all the transactions of every Management Report to insure that all transactions have been recorded accurately and that they belong to the Activity or Project.

New Sales Tax Rates

Effective April 1, 2007, there are new sales tax rates effective for Salt Lake County. The new base sales tax rate is 6.85% for Salt Lake County. If you do business in another county, please check the Utah State Tax Commission table for April 1, 2007 sales tax rates:

Credit Card Fraud Alert on Campus

Recently, a University department was contacted by a person claiming to represent a firm called America One, who indicated that credit card rates were going up, resulting in the need to reprogram their credit card machines. This representation is fraudulent. All maintenance of credit card machines is handled by Income Accounting and Student Loan Services. Unless instructed otherwise, all contact regarding credit card processing on campus will come through this office. Please be aware that the credit card machines on campus are programmed remotely and do not require someone to actually re-program the machine.

If anyone contacts you or your department requesting that you provide credit card information, please take their name, phone number, and company name, and report the incident to the Income Accounting and Student Loan Services Department, at 581-3968. Do not provide confidential information regarding credit cards to anyone without first contacting Income Accounting and Student Loan Services.

Any questions you may have concerning credit card issues can also be referred to this phone number. Please make sure that this information is passed on to the appropriate people within your organization.
