JUNE ACCOUNTING MONTH CLOSED

The accounting month of June is closed.

The process to create the beginning balances for July will run Friday night/Saturday morning. Therefore, the beginning balances for July will not appear on your Management Reports until Monday morning.

e-Journal Training for New Preparers

e-Journal training for new preparers can now be done at your desk and at your convenience.

If you aren’t using the e-Journal application to prepare your journal entries and would like security access to use the application, follow these steps:

  1. Log on to CIS and click on the “e-Journal Entry” link in the “Processing” section of Financial & Business Services.
  2. In the “Help and Documentation” section (lower left), click on “Preparer’s Guide” and read the ENTIRE guide.
  3. After reading the guide, click on “New Preparer Questionnaire” and answer all the questions. This will help central administration determine if you have sufficient knowledge to use the application.
  4. Email the completed questionnaire to Financial Reporting & Accounting at .
  5. Complete the “Preparer Security Access/Update” form.
  6. After your answers on the questionnaire have been reviewed, you will be notified by email when you have been granted access.

After you start using the application, if you have questions, first refer to the “Preparer’s Guide”. If you then cannot find an answer to your question, use the “Questions or Suggestions” link on the e-Journal home page to ask your question.

Accounts Payable: Fiscal Year Close

Please note that Wednesday, July 6 is the deadline for receipt of all Fiscal Year 2011 documents in the Accounts Payable office, 145 Park.
All transactions to be included in FY2011 should be received by 5:00pm, Wednesday, July 6.

Journal Processing

We have made headway resolving the problem with processing journal entries. We are currently caught up and have posted all journals that are available to be posted, including payroll. The Management Reports, as of this morning (June 28th), are up-to-date.

Issue with Journal Processing

We are experiencing a problem with processing any journal entries in PeopleSoft. As a consequence, the June 15th payroll journal has not been posted. We are working on the problem and will post all journals as soon as possible. Stay tuned.

CIS Financial Applications Unavailable June 17 at 5pm through June 19

Maintenance will be performed on the Financial Applications in the Campus Information System (CIS) starting Friday, June 17 at 5 pm.  Maintenance is scheduled to be complete Sunday, June 19 at Noon.

This will impact many of the FS web applications in the FS pagelet as well as the financial applications in the FS Database.

Non-Financial applications will still be available in CIS.

Endowment Projections for Q3 FY 2011

The ending quarter endowment pool unit market value for March 31, 2011, is $203.57 per unit. This information is necessary for Method 2 of projecting endowment income and is provided quarterly through FS News. All other factors in the instructions remain the same through the fiscal year.
