Prepaid Hotel arrangements for Visitors to the “U”

NOTE: The University Guest House is approved to accept either the Purchasing Card or a Campus Order to pay for a visitor’s lodging. The Travel Department encourages use of our University Guest House.

Otherwise, the approved local hotels listed on this page should not accept Limited Purchase Orders for payment, they should bill us directly against a Travel Number. Please follow these directions when arranging lodging for our visitors at any of the other properties listed:

  1. Register the trip online
  2. Call the contact persons listed here to secure a room for the dates required
  3. Ask for the University rate, the rate quotes should be tax exempt
  4. Prepare hotel prepayment request with confirmation number listed in the “notes” section
  5. Obtain signatures, forward to Travel (416 Park)
  6. Hotel will invoice us directly, we will match the invoice with approved prepayment requests and process payment

If you are speaking with hotel personnel who are not the contact person listed here, or are unaware of this procedure, give them the Travel Number when they ask for a PO, direct them to reference the Travel Number, and forward the invoice to our fax (581-6086). The department should follow the instructions above to complete the request. We will work internally to coordinate payment of the invoice.

If you anticipate you will be reimbursing the visitor for any out of pocket expenses, you may want to initiate creation of the Vendor Number in advance by submitting the Visitor Vendor Number Advance Request form.
