The Financial & Business Services Index and Glossary has information about Purchasing Card Reallocation.
The following FBS web pages help explain various aspects of Purchasing Card Reallocation.
Reallocating Transactions
Check the Reallocate box next to a transaction, then press the Review/Reallocate button. Change the amount of an existing reallocation and/or add one or more new reallocations. To delete an existing reallocation, click the Delete button on the left of the reallocation line and then make the change. If you wish to come back and reallocate the transaction later, use the delete link, then delete the amount or change it to zero (0) and lastly click “Submit and choose another transaction on this card”. You cannot make more than one reallocation to the same Chartfield within the same transaction. If you are trying to reallocate an amount to a Chartfield that already has reallocations, you must change the existing reallocation. You cannot reallocate an amount to the default Chartfield. To send transactions to the default chartfield you should use the Review process or when reallocating, the amount left in the Remaining column will be sent to the default chartfield. Any amounts not reallocated by the monthly cut-off date will be automatically allocated to the default Chartfield. You cannot check both “reviewed” and “reallocate” for the same transaction.
Reallocating Transactions
Check the Reviewed box and press the Review/Reallocate button; this will toggle that transaction’s status to R for Reviewed, meaning the transaction will go to the default chartfield at the end of the business day. . Any amounts not reallocated by the monthly cut-off date will be automatically allocated to the default Chartfield. You cannot check both “review” and “reallocate” for the same transaction.
Processed Transactions
If you get the message “this transaction has already been processed,” or if you see a PR (processed and reviewed) or PA (processed and reallocated) in the Status column on the main reallocation page, it means that the reallocation has been posted to the general ledger. You can view processed reallocations through this web interface, but a journal entry or cost transfer is required to make changes. Allocations to the default Chartfield are shown in green.
